SOUTHEAST INSPECTOR

SUMMARY

This position is included in a union-represented bargaining unit, and specific employment terms and conditions are subject to collective bargaining.

The Inspector works with certification staff and clients to assess overall compliance of operations to regulatory standards through on-site observations and evaluation. The Inspector travels to conduct interviews of operations, audits records, and provides technical assistance to support the needs of clients in the area of inspection. The Inspector works with certification staff to enhance the program through continuous improvement.

The salary range for this position is $54,000 to $70,000 per year (depending on experience). 

DUTIES AND RESPONSIBILITIES

The responsibilities of the Inspector include, but are not limited to, the following:

  • Engaged Teams – Evaluating and assessing organic system plans for completeness and accuracy; working as a member of the team to ensure consistency of certification processes with a high level of integrity and quality; supporting clients and staff by assisting with the development and delivery of instructional materials regarding on-site visits; supporting client service delivery teams by troubleshooting inspection related issues and general support of documentation and compliance needs; ensuring client files are appropriately managed and current; and role modeling a shared vision and caring culture in alignment with Oregon Tilth’s mission.
  • Empowered Clients – Ensuring a positive client journey that aligns with the Oregon Tilth client journey map; providing timely and transparent service and communications to clients; providing general and technical assistance regarding the certification process; engaging with clients to ensure their understanding of compliance matters and processes; assessing all relevant parts of the operation’s premises and records to determine compliance with applicable standards; ensuring a high level of service and quality; and monitoring expenses and billing to ensure cost effectiveness.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

CERTIFICATION SYSTEM LEAD

The Certification Systems Lead is responsible for overseeing, optimizing, and maintaining the ECERT–Intact platform and related workflow systems that support Oregon Tilth’s certification programs. This role supervises a team of Certification Operations Administrators and ensures operational effectiveness, data integrity, and cross-departmental collaboration through effective system administration, process improvement, and technical training. The position serves as the primary point of contact for system troubleshooting, enhancements, vendor coordination, and reporting, and partners closely with Certification, Finance, Inspections, IT, Marketing & Communications, and other departments to support consistent, high-quality service delivery.

The salary range for this position is $70,000 to $75,000 per year (depending on experience). 

DUTIES AND RESPONSIBILITIES

System Administration & Technical Oversight

  • Oversee the administration, configuration, and optimization of the ECERT–Intact platform, ensuring system health, functionality, and security.
  • Manage user accounts, permissions, backups, and technical troubleshooting.
  • Coordinate with IT and the platform vendor to address bugs, feature requests, and optimization opportunities.
  • Coordinate and oversee system projects such as database rollovers, release testing, and integrations with other platforms.

Data Management, Compliance & Quality Control

  • Ensure the accuracy, completeness, and accessibility of data related to certified operations, inspections, findings, and certifications.
  • Implement and maintain quality control processes to protect data integrity and support regulatory reporting requirements.
  • Understand and apply USDA National Organic Program (NOP) standards and other relevant regulations to maintain compliance.
  • Ensure workflows, configurations, and outputs meet all applicable regulatory and accreditation standards.

Workflow Optimization & Reporting

  • Utilize ECERT–Intact capabilities to streamline and automate workflows such as contract management, audit planning, and invoicing.
  • Identify and implement opportunities for process improvement and operational efficiency.
  • Generate recurring and ad-hoc reports to support program performance monitoring and decision-making.
  • Leverage business intelligence tools and ECERT–Intact reporting functions to identify trends, monitor KPIs, and recommend improvements.

User Support, Training & Documentation

  • Provide technical support and training to certifiers, inspectors, and operations staff.
  • Develop and maintain system documentation, user guides, and training materials.
  • Conduct regular training sessions and update materials when features change or new capabilities are introduced.

Team Operations & Collaboration

  • Serve as the primary liaison between Certification Services and technology partners.
  • Supervise, train, and mentor 4–5 Certification Operations Administrators.
  • Oversee and integrate workflows using complementary platforms (e.g., Asana) for certification-related processes such as renewals.
  • Collaborate with all departments, including IT, Marketing & Communications, Certification Services, and other functional areas to align system capabilities with programmatic needs.
  • Standardize and improve operational procedures to ensure consistent system use across departments.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • Minimum five (5) years of technical experience in certification system administration, certification program operations, or a related technical role.
  • Expert level experience with the ECERT–Intact platform
  • Minimum two (2) years of people management experience
  • Bachelor’s degree in a related field or equivalent combination of education and experience.
  • Strong technical proficiency in database administration, system configuration, and reporting tools.
  • Strong analytical and problem-solving skills, with the ability to translate operational needs into technical solutions.
  • Ability to effectively train and support diverse system users.

SKILLS & COMPETENCIES

The Certification Officer works as part of a client service delivery team to provide customer service and issue certification decisions. The Certification Officer focuses on assessing and determining compliance of the operation’s organic system plan with organic regulations, evaluating inspection reports, and writing/issuing reports to our clients. The Certification Officer provides customer service and works collaboratively within the client delivery teams.

DUTIES AND RESPONSIBILITIES

The responsibilities of the Certification Officer include, but are not limited to, the following:

  • Engaged Teams – Evaluating and reviewing inspection and post-inspection documents, mid-year requests and system changes to issue certification decisions; working as a member of the team to ensure consistency of certification processes with a high level of integrity and quality; role modeling a shared vision and caring culture in alignment with our mission.
  • Empowered Clients – Providing timely and transparent service and communications with clients to provide answers to questions and general assistance regarding the certification process; providing technical assistance to clients; and engaging with clients to ensure their understanding of compliance matters and process.

The salary range for this position is $56,000 to $68,000 per year (depending on experience).

CERTIFICATION SERVICES SUPERVISOR

The Certification Services Supervisor is responsible for supervising, leading, and motivating the client service delivery team members. The Certification Services Supervisor’s goal is to ensure that services are delivered to the client portfolio with exceptional customer service in alignment with our larger mission. The Certification Services Supervisor communicates company goals and must maintain workflow by communicating clear expectations, monitoring steps of the process, understanding inevitable variables, and facilitating corrections. The Certification Services Supervisor is responsible for keeping the management team updated on team performance in alignment with company goals and objectives.

DUTIES AND RESPONSIBILITIES

The responsibilities of the Certification Services Supervisor include, but are not limited to, the following:

  • Engaged Teams – Setting clear team goals and communicating key organizational indicators (KOIs); monitoring team performance and reporting on metrics; managing team workload by delegating tasks and establishing deadlines; building team cohesion to create a highly performing and functioning team; providing appropriate coaching, team and individual development; conducting appropriate performance management, including writing performance evaluations; and serving as a link between employees and management.
  • Empowered Clients – Ensuring quality customer service, including interacting with clients, answering client inquiries and effectively handling client service concerns and needs.
  • Exemplary Leadership – Partnering with other Supervisors and the Certification Services Manager to ensure consistency across the client service delivery teams; and role-modeling diversity, equity and inclusion.

Additionally, the Certification Services Supervisor will utilize critical thinking and problem-solving skills, role model a sense of ownership and pride in overall organizational performance, serve as a leader, and demonstrate strong verbal and written communication skills.

The salary range for this position is $66,000 to $76,000 per year depending on experience.
